Information for PresentersPresentation TypeGeneral Information for All Presenters General Information for All PresentersSpeaker RegistrationAll presenters must register for the conference. Presenters registering at the VLA member rate must have been members in good standing prior to June 1, 2026. If a presenter was not a member for that date, they will be charged the non-member presenter rate. All presenter rates can be found on the registration page. Up to two presenters per session, the primary presenter and one co-presenter, are eligible for the presenter rate. Please review the registration page for all rates, including presenter rates. Please note:
Conference AppSched will be used as the conference app for scheduling and more. Registered presenters will receive an invitation to join the event to allow for full access to the app. General Session and VLACRL PresentersPresentation Time and LocationIn the conference app you will find the session schedule including the time and location of your presentation. If you do not see your name associated with the presentation or do not see your presentation listed, contact [email protected] immediately to fix this. Make a note of your room assignment when you find it in the conference app. Room assignments will be posted by August 2026. Session and Speaker MaterialsYou may upload presentation materials to Sched. We encourage you to make your presentation available as attendees find it very useful to have copies of the presentation materials (slides, handouts, etc.), especially since they cannot attend all concurrent sessions. Consider adding your notes in the slide notes area so people who attending a different session can still benefit from your knowledge. A Google form for slide deck submissions will be sent in mid-September. If submitted before October 9, VLA staff will upload your slide deck to Sched on your behalf. Room Equipment and AVPresentation rooms will have a projector, screen, microphone, and podium and/or panel set up. You will need to bring your own laptop or tablet and cords to attach to the projectors. Projectors will have HDMI cables for connection. Please bring any necessary technology you need to connect your presentation device to the projector via HDMI and anything else you need, like a clicker to shuffle between slides.
Each room will have a microphone, and it is essential that presenters speak into the microphone when presenting, regardless of how much you think your voice will carry. It is essential for people with hearing disabilities. Do not assume that everyone feels comfortable sharing that they cannot hear you without the microphone or that you can project your voice loudly enough.
Virtual PresentationsVLA does not offer a virtual option for the Annual Conference for attendees or presenters. Sessions will not be streamed or recorded. All speakers are required to attend in person. WiFiThe conference center will have WiFi but no component of your presentation should depend on the ability to connect to the internet. There will be hundreds of people using it at the same time; we cannot guarantee the connection speed. If you are planning to show a video, we recommend that you download the video rather than streaming it from YouTube or other service. Do not plan to stream or download in the conference center. Poster PresentersTime and Set UpYou can hang your poster between 2 p.m. and 4:50 p.m., Sunday, October 18. The poster session presentation period will run from 5 - 7 p.m. Early Registration begins at 2 p.m. so be sure to stop by the registration desk to pick up your name badge. You should try to get to your poster a few minutes before the session starts so you are prepared for attendees. Poster sessions will run concurrently with the Awards Ceremony and Cocktail. There will be a scheduled interruption at 6 p.m. to honor groups of our award and scholarship winners. Please be patient while we honor our members and pause your discussion to recognize their achievements. Poster SpecificationsWe are providing 4’ X 8’ double-sided boards for your use, on which you can Velcro or pin your posters. You will be sharing one side of the board with another poster presenter. The maximum size of your poster is, thus, 4 feet by 4 feet. You may want to make it a little narrower so you can stand beside the poster to present and not block your data, especially if you have more than one presenter. You will be preassigned a poster space - you will forfeit your ability to present if your poster does not fit in the designated area and encroaches on another poster presenter's space. We will provide push pins, though we cannot guarantee what color they will be. There will be a table underneath the bulletin board to place your materials.
