Presenter Information for the 2017 VLA Annual Conference

Add your presentation materials on the VLA website through filling out the 2017 VLA Annual Conference Submission Form for Session and Poster Materials. Please remember to have the file names include the first presenter's last name and the exact presentation title.

Check your presentation information on the 2017 VLA Conference program and note any corrections on the Conference Submission Form for Session and Poster Materials.

Hello Session, Poster and Lightning Presenters for #2017VLA! Lots of info below, PLEASE READ!

I am so excited for the upcoming VLA Conference 2017, Breaking Barriers, Building Bridges. This is going to be an awesome event, mainly because of all the work each of you are putting in to make our session selection amazing.  I want to thank you in advance for sharing your expertise with Virginia libraries and beyond.

As one of our presenters, you have a few obligations. PLEASE FOLLOW THESE STEPS by OCTOBER 3:

  • Upload your slides and other documents (or links to your presentations) to this Google Form http://bit.ly/2xDcHcc 
  • Your slides must be named the NAME OF YOUR PRESENTATION (otherwise we end up with 100 files called VLA2017.)
  • We require all PowerPoints to be converted to PDFs before they are submitted (for size purposes.)  A quick way to do this is to use CutePDF 
  • If your session is on Thursday, please make a link to this evaluation form your last slide: tinyurl.com/th2017vla
  • If your session is on Friday, please make a link to this evaluation form your last slide: tinyurl.com/fri2017vla
  • Can’t remember what day you’re presenting? Visit the CONFERENCE PORTAL and look for the Conference Program image. A final conference program and our app will be released next week.

Q: What happens if I don’t do this by October 3?

A: We can’t guarantee that our volunteers will be able to post your documents by October 12. And attendees *want* to be able to access your documentation while they are in your sessions.

EVALUATIONS: Speaking of evaluation forms, all feedback will be shared with you after the evaluation form closes, two weeks after the conference. If you would like feedback immediately, you are more than welcome to bring your own evaluation forms with you.  We still want you to encourage the attendees to fill out the conference evaluation forms.

LAPTOPS: Presenters MUST BRING THEIR OWN LAPTOPWe cannot emphasize this enough. There will be a variety of connector cables available for your use. Technical support will be provided at the beginning of each session.

PRESENTATION TIPS: Here’s a great article. Other advice: If you are planning to show a video during your session, PLEASE DOWNLOAD THE VIDEO TO YOUR COMPUTER SO IT CAN BE PLAYED OFFLINE.

COMPLAINTS: VLA gets two major complaints about presentations on our evaluations each year. They are “don’t read your slides to me, I can read!” and “Please repeat questions asked by the audience before you answer them, not everyone can hear the question.”

SOCIAL MEDIA: Feel free to use the attached image on your social media profiles. VLA received more than 180* presentation submissions this year and YOURS was chosen! Be proud, show it off! (This is a combined number between VLA, the VLA Chapter of ACRL and the Virginia Association of Law Libraries.)

ONLY COMING FOR MY SESSION: If you are only coming to present your session, you do not need to register for the conference. Please make Lisa Varga aware of this at [email protected], if you haven’t already. You will need to go to the registration desk (Fourth Floor, the rear of The Main Ballroom) upon arrival to pick up your name badge.  Advance registration ends at 11:59 pm tomorrow, September 27. If you’ve been waiting to register, do it asap to avoid a late fee!
