Compensation: $19.24 per hour ($40,000/yr)

Position Summary 

Under the general supervision of the Branch Manager, coordinates the operations of Branch Circulation Services. Oversees the work of library assistants and volunteers. Responsible for handling and maintaining patron accounts; overseeing circulation of library materials; and managing delinquent patron accounts.

Major Duties

  • Coordinates the operation of the Branch Circulation Services with other Circulation Services Coordinator(s) and Branch Manager to ensure consistency of policies and procedures across all branches. Interprets Circulation policies and procedures for staff and patrons and ensures staff understanding and adherence. Monitors the effective and efficient use of library resources and staff.
  • Under the supervision of the Branch Manager interviews, trains, and oversees the work of Circulation Services staff; assigns work and schedules staffing to efficiently operate the Circulation desk. Ensures that staff members are responsive to customers in a consistent, friendly, and professional manner. Identifies staff training needs and regularly evaluates staff performance, and works with staff to improve competencies as needed.
  • Works with staff to maintain the high standards of the library system by keeping the Circulation work areas and other public areas neat and clutter free. Ensures library materials are shelved correctly, stacks are tidy, and materials are shifted as needed. In coordination with Branch Manager manages collection inventory projects on a regular basis. Reports any maintenance or safety issues to the Branch Manager and or Administration in a timely fashion.
  • Provides direct service to library patrons; resolves problems related to the day to day circulation of library materials, such as reviewing and resolving patron complaints and questions regarding Circulation Services.
  • Advises the Branch Manager about the needs of the public for library materials and circulation services; recommends and helps to develop circulation policies and procedures based on the Library’s five-year plan. 
  • Serves as a “Person in Charge” and as such is responsible for addressing any patron or building issues that arise during the shift as needed. In absence of Branch Manager, acts to interpret Library policies and procedures and resolves problems and complaints in a pleasant, timely, and professional manner.
  •  Facilitates Interlibrary Loan service for all locations by borrowing materials on loan from other libraries and by loaning materials requested by other libraries. Keeps interlibrary loan statistics and reports them monthly  
  • Oversees the tracking of Transit or Missing items; maintenance of patron registration files; coordination of online inventories and other projects as they arise.
  • Other duties as assigned.

Complexity

Work is routine to complex in nature requiring technical skills and abilities as well as the use of independent judgement, interpretation, discretion, and tact. Attention to detail is required.

Scope and Effect

Work performed is essential to the smooth operation of Circulation Services and assures a positive public impression of the Handley Regional Library System. When this position's responsibilities are successfully performed, patrons receive competent courteous circulation services. Library patrons trust that staff members are fairly administering circulation policies and procedures, that someone will follow through on their concerns, and that overdue materials will be processed and available as quickly as possible.

Personal Contacts

Oversees Branch Circulation Services staff. Works closely with other Circulation Services Coordinator(s) to maintain consistent library services among all locations. Other contacts are with co-workers to share information and to coordinate library services, and with library patrons in person, through correspondence and on the telephone. Public contacts can be with angry, upset and sometimes openly hostile patrons.

Physical Demands

The position requires standing or sitting at public service desks, working with the public, some repetitive motion and reading of computer screens. It also requires a significant amount of bending, reaching, and moving quickly to retrieve patron records or library materials. Shelf-reading and shelving library materials requires standing on step stools or bending to reach low shelves and moving carts filled with books up and down ramps. Must be able to perform Circulation staff tasks including but not limited to emptying exterior books drops, lifting 25-pound boxes of books, moving heavy book carts, and shifting furniture as necessary. The building design of Handley Library requires the ability to walk up and down flights of stairs.

Work Environment

Work is performed in a general office environment and in a public library setting during regular business hours, including some evenings and weekends.

Requirements

Knowledge, Skills, and Abilities Required

Thorough knowledge of Circulation Services functions, organization, and policies. General knowledge of library principles, methods, materials, and practices. Ability to work with minimal supervision and to remain calm in meeting demands of patrons at public service desks. Ability to schedule, motivate, and instruct staff. Ability to establish and maintain effective work relationships with co-workers and library patrons. Skill in communicating effectively and in projecting a positive image of the library and its organizations, functions, and systems. Ability to maintain records and write reports with attention to detail. Knowledge of computers and computer-based access tools, and skill in solving basic technical problems. Bachelor’s degree and library experience or equivalent education and experience.
