SALARY: $34,435 - $44,766 per year

Then join the Strategic Initiative division at Chesapeake Public Library (CPL) which supports staff and provides structure to transform CPL’s goals and dreams into a reality.

We are seeking a resourceful full-time Office Specialist skilled in delivering excellent internal and external customer service. The ideal candidate will be a multi-tasker who prides themselves on problem-solving. The candidate must have the ability to initiate and maintain collaborative working relationships with other staff, customers, officials and library partners.

This position will help customers of all ages and backgrounds which requires exceptional organization and communication as well as a genuine wish to create experiences that matter.

Required tasks include, but are not limited to:

  • Work with Strategic Initiatives Librarians and Public Information Coordinator in support of CPL’s Strategic Plan. Assist with planning, coordination, and implementation of special events and projects; Monitor compliance of Strategic Initiatives grants.
  • Support Library Administration, library managers, library committees, and external partners to comply with project timelines, contract and agreement expectations, publicity requirements and deadlines, agendas, and minutes. Schedule appointments and arrange meetings; answer routine correspondence on behalf of Strategic Initiatives independently.
  • Process, submit, and monitor expenditures for assigned areas of responsibility.
  • Engage with other departments, clients/customers, and the public by telephone, email or in person; provide information, direct individuals to appropriate personnel, take and relay messages, or receive, log, and process complaints.
  • Perform data entry, file, fax, telephone, photocopy, scan, and/or process mail; assist with daily operations as directed.
  • Assisting with Library Records Management to include sorting, inventorying, and preparing destruction documentations.
  • Facilitate the process of posting items online that have been deemed unusable by the City/Library and coordinating with successful bidders to pick up these items.

Preferred qualifications

Must be proficient with Microsoft Office to include, Word, PowerPoint, Excel, and Outlook.
Experience with Google Drive, Canva, online calendar, and room booking platforms are a plus.


Requires a high school diploma or GED and any combination of education and experience equivalent to satisfactory completion of one year of college education in word processing, secretarial skills, or a closely related field.


Depending on departmental operational requirements, may require valid driver’s license and driving record in compliance with the City Driving Standards.


In addition to satisfying the vocational/education standards, this class requires a minimum of two years of full-time equivalent experience in administrative support.

Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.  Emergency operations support work and work locations may be outside of normal job duties.


An acceptable criminal history and Child Protective Service (CPS) report are required.
Requires a valid driver’s license and driving record in compliance with City Driving Standards.
An in-basket exercise will be administered to candidates that are selected for an interview.
