The Acquisitions & Accounting Assistant is a member of the Content Services department of W&M Libraries and works closely with the Associate Dean for Collections and Content Services as well as the library’s Accountant. This position supports financial operations for the library’s collection budget, including procurement, acquisitions, tracking of accounts, monitoring endowment expenditures, and reporting activities. The position will assist with budget preparation and reporting about the libraries’ collections including books, media, e-resources, and journals. This position also will support the library’s Accountant by conducting reconciliations and assisting with the procurement and reimbursement activities in other areas of the budget such as facilities and professional development.

This position uses multiple systems including the ILS (catalog) system of the library, the University’s Banner system, the state’s eVA procurement system, and the University’s credit card (SPCC) system, and serves as a reference for others in the library in the use of these systems and by providing reports.

The position resolves vendor and invoicing problems and recommends improvements to workflow and systems for both acquisitions and travel. The position requires excellent judgment, including the ability to solve complex problems with both resourcefulness and the highest sense of integrity.

This position supports the work of multiple Content Services colleagues, notably the library’s Accountant, by providing back-up, completing cross-training, and offering project assistance on a regular basis. This position needs to communicate well with library staff, student workers, and faculty about acquisitions and travel issues in a collaborative and evolving work environment. The Acquisitions and Accounting Assistant supports the mission of the Libraries and may serve on committees, task forces, or project teams to achieve the goals of the department and library.

Required Qualifications:

  • Associate’s degree in accounting, or an equivalent combination of training and experience indicating possession of the relevant knowledge, skills, and abilities.
  • Demonstrates excellent written communication, typing, and computer skills.
  • Experience creating accurate records, computer files, documents, or data in a professional setting.
  • Demonstrated strong attention to detail and interpret complex instructions with accuracy.
  • Demonstrated strong interpersonal skills, including experience building positive relationships with colleagues, vendors, and patrons.


Preferred Qualifications:

  • Experience in a library setting or experience working at a public, state institution.
