Hello presenters!

We are just over 2 weeks away from the 2019 VLA Conference and I wanted to send out some final details about the conference center and what to expect in your session rooms.

Please bring all the supplies you need to conduct your session. All rooms will have a projector and screen with VGA and HDMI cables to connect to your device. If you have Apple technology and need connectors, please bring those. If you need a clicker to advance your presentation, please bring that with you.

All rooms will be set theater style, with chairs only. No tables as this lessens the amount of attendees who can be in your session. (With the exception of the sessions in the Fraim Center, and Granby Ballroom E on Friday morning only.) The number of seats per room is determined by the hotel.  Here’s the capacity chart for each room. (Once a screen, projector, table and microphone are added, seating in some rooms can be reduced by 10-20 seats.) The final conference program will be posted on the conference portal on Tuesday, October 8th. You can check your room assignment at that time.

All rooms will have 1 wireless microphone. Even if you have a loud voice, please use the microphone to make your session accessible to all. If you have attendees who ask questions, please repeat those questions with the mic before answering so the rest of the attendees can hear. We don't have the ability to have more than 1 microphone per room.

Lastly, something new for this year!

Good news!  You now have until November 1, one week after the conference, to share a copy of your presentation with the conference committee for inclusion on the VLA Conference portal.  We know that many presenters like to perfect their presentation in the days leading up to the conference and having an early deadline for sharing content added unneeded stress to the process.  This new deadline will give you more time finalize your content, reduce work for conference planners, and give all attendees a firm date to gain access to session materials.  We recognize that some attendees need to view presentations in advance when possible, so we may reach out to you to gain early access if we receive an accommodation request. 

We will send a reminder email closer to the conference, but please plan to send a .pdf version of your presentation to [email protected] by November 1.  You may also share the web link to your presentation instead if it is hosted online.   

Because this is a new process for us, we would appreciate any feedback you would like to share in the presenter survey that will be sent out after the conference.

Hello Presenters!

A few quick updates to pass along to you and don’t worry, if you delete this email, it will be posted to VLA.org, in the presenter portal.

Registration for the conference has opened. Click here to reach the conference portal where you'll find registration, rates, hotel info, and much more conference info. 

If you are attending the conference (one or both days) as well as presenting, you are entitled to 2 presenter rate registrations for your session. If you have more than 2 presenters for your session, the other presenters will register at the full rate. 

If you are not attending the conference other than to present, you do not need to register for the conference.

The preliminary conference program has been posted. Please search out your session here and make sure it reads correctly. 

If you sent any changes within the last week to myself or Lisa, but don’t see your changes, those changes will be made for the final program printing. 

If you have changes to make, please send them to me, including email addresses if you are changing presenters.

If you are unable to attend the Presenter’s Academy, sponsored by the Continuing Education Committee, please check out the presenter portal under the heading Email #2 for the sources they will be using at the academy.

Good evening everyone,
 
I'd like to introduce myself to those who don't know me and to those I've worked with before, hello again! My name is Bonnie Shaw and I am the 2019 VLA Conference Presenter Coordinator. Congratulations on being selected to present at the conference this October.
 
I am here to answer your questions regarding the room your session will be in. I will send out timely emails with important information and tips but if you delete my email, worry not. You can always access them by clicking Presenter Portal. This will bring you to the VLA Conference website.
