Snapshot Virginia – Focusing on Photos

The photos you will be taking on your Snapshot Day are a very important part of our advocacy and go a long way in communicating the essential nature of Virginia libraries. Here are a few tips for successful photo-taking on your Snapshot Day:

- Look for scenes that capture a compelling moment of interaction. Show patrons browsing your collection, using your computers, and getting friendly service from your staff.

- Get up close and personal to focus attention, unless you’re purposefully going for a wide shot.

- Get in front of your subjects, avoiding the backs of heads, to show those friendly faces.

- Capture the diversity of our population. It’s probably easiest to get great shots of kids and young families, but we need to showcase our patrons of all ages and walks of life. If you’re offering assistive services, be sure to show it.

- Cover the range of your services. In addition to typical activities like browsing, reading, and using a computer, look for opportunities to document patrons getting help with taxes, business people doing research, and any instructive or training programs you’re offering.

- Prepare your staff to show their best smiles and make eye contact when it’s their turn to be photographed.

- And please, don’t use the flash unless absolutely necessary and turn off any date stamp feature on your camera.

Snapshot Virginia – Your Day

We’re only days away from the beginning of Snapshot Virginia 2012, and though you have the entire month of April to take your Snapshot, many of you have already picked your day and started advertising.

Remember, once you have chosen your Snapshot Day, the first step is to send out press releases and distribute posters and flyers. The press release template and customizable posters and flyers are available at http://snapshotvirginia.org/ under “Participate”.

To make your Snapshot Day run smoothly, print out Statistics Worksheets for all public desks to easily track patron activity. Make sure to distribute forms to every branch in your system–the strength of our advocacy depends on full representation. After your Snapshot Day, total up your statistics. While it’s preferable to submit stats as an entire library system, individual branches can certainly participate.

* Just today, a forms enabled version of the Statistics Worksheet has been added. If you prefer, staff can record their stats on their computers, with totals automatically generated, and save a tree or two. If you have any questions about distributing or using PDF forms, please let me know.

Patron Comment forms should be placed around your public areas. They can also be offered after circulation and reference transactions, particularly to patrons who seem enthusiastic about the service they have received. You can explain to patrons that our purpose is to capture the impact that Virginia libraries have on their communities on a typical day. Their comments may be used to advocate for libraries. If patrons ask, their names will only be published as “first name, last initial”, even if they include their full names or contact information on the form.

Check that you’re ready to be photographed–do your public areas look neat and welcoming? Are your displays fully stocked? When taking photos, look for iconic images that illustrate why your library is great. Show patrons browsing your collection, using your computers, and getting friendly service from your staff. Get in close to the action to best capture those friendly faces. While most patrons will happily agree to be photographed for library publicity, if you wish to use a formal release, a sample is available for you at http://snapshotvirginia.org/.

With your support, we will give legislators and budgetary decision-makers a true picture of the service we provide all over the Commonwealth every day. Thank you for participating.

Snapshot Virginia 2012 is nearly under way! So, how to get started?

The promotional materials and worksheets have been updated. You’ll find them all, plus step by step instructions, at http://snapshotvirginia.org/ under “Participate”.

So, how to get started?

First, pick your Snapshot Day. This year we’ve opened it up to the entire month of April. Pick the day that works best for you–will key staff be present? What fabulous programs will be ongoing? On which days can you get a photographer? If you have multiple locations, there’s no need to hold all your Snapshots on a single day.

Once you know when you will be participating, it’s time to advertise. Patrons can get excited about the chance to make their voices heard. On the site you’ll find flyers, posters, and bookmarks that can be easily customized with the date of your Snapshot. Print these out to display around your branches and to hand out at checkout.

Getting the press involved can be one of the most powerful methods for advertising your Snapshot Day. Also on the “Participate” page of the website, you will find a press release template. Simply add your library information and Snapshot date and send it out to your local newspaper and media outlets.

In the next email I’ll talk about the nuts and bolts of making your Snapshot Day run smoothly.
Thank you for participating!
